What is a virtual PMO?
A virtual Project Management Office (PMO) is where we provide the personnel, the desks, the infrastructure, and the management of a small team of people to provide PMO services for clients. This can be as small as one day per week for an individual, or as large as you need.
The PMO tool space has changed dramatically over the last five years with many solutions now cloud based or ‘Software as a Service’ (SaaS). This means an off-site hosted, fully maintained service where customers pay fees based on their usage rather than the upfront investment in infrastructure, implementation, and ongoing operational costs.
Meanwhile, organisations are running projects across different locations; whether across town, across country, or even across the globe. These sometimes come with different time zones and the need for flexible working, e.g. out-of-hours support. Factor in the increase in outsourced service provision to external vendors (outside the firewall), and it is not surprising that SaaS is a sought-after option.
Core Consulting Group (CCG) has PMO customers who are running geographically diverse project teams. While they need our help in running their PMO, their limited desk/office space plus the SaaS PPM or EPM tool they run and the need for out-of-hours support provides an ideal opportunity for ‘PMO as a Service’. We provide support services for Microsoft Project Online, Jira, Agilecraft, Daptiv and EPMLive.
How does it work?
PMO as a Service is an offering whereby a customer commits to a set number of hours per week (or full-time equivalent) and we use our office, our infrastructure, and our staff to provide that service.
CCG staff work to a flexible time arrangement, spreading the hours as required within each week. Perhaps beginning their day at a 5am web hook-up, our staff then start in the office, or at home, at 10am after taking the kids to school.
Or perhaps they work short days some times and long days at others (e.g. at reporting time). It is a win-win scenario where customers get the support they need when they need it, while our staff get flexibility and balance work hours with home life.
PMO as a Service can’t be defined in a brochure; it is by its nature flexible and agile. We start with a catalogue of potential PMO services and an estimate of workload or effort for each. We then compile these into an integrated offering with a man-hour budget to suit.
